How to track a request at a Polish urząd
Polish tracking is among the East's most predictable: the administrative code (KPA) sets reply deadlines, the urzędy answer e-mails seriously, and the sygnatura — the case number — opens any door. The real challenge sits in historical cases, where the queue is the archive's, not the administration's.
The sygnatura first
Every case gets a sygnatura (reference number). Follow-ups cite it along with the request date and the subject: “uprzejmie proszę o informację o stanie sprawy, sygnatura…”. E-mail in Polish (even with translator help) gets better answers; in English, it works at the big urzędy.
The channels
- E-mail to the USC/urząd with the sygnatura — the standard channel; replies in days to two weeks.
- Phone: mornings; Polish helps a lot — the language barrier on the phone is real.
- ePUAP: whoever entered through it tracks through it.
- The counter: solves on the spot — and in Poland the queues are manageable outside Mondays.
Deadlines with a legal ruler
The KPA sets the beacons: up to one month for the common case, two for the complex one, with notice when extended. An odpis of an already-central record: days. A record not yet migrated: weeks (the migration counts). The state archive (kwerenda — the paid historical search): the KPA ruler doesn't apply; months are normal and the archive usually gives its own estimate when accepting the search.
When to escalate
KPA deadline lapsed without notice: a formal demand citing the deadline (urzędy take it seriously — unjustified delay is a formal administrative failure, the ponaglenie is the instrument). If it persists: the counter. In archive cases, escalating is something else — accepting the paid kwerenda or sending someone to the reading room to search in person.
