How to collect a document already issued in Spain

In Spain, collecting (recoger) a finished document is simple on paper and bureaucratic on the calendar: third parties collect with a written authorisation, but many counters require a cita previa even for collection — and that is where deadlines slip.

Who may collect

The interested party, or an authorised person with: a signed written autorización, a photocopy of the authoriser's DNI/passport and the collector's own original ID. Some administrations publish their own authorisation template — when it exists, use theirs; it spares a counter argument.

The autorización that works

  • Complete identification of the authoriser (name, DNI/NIE/passport).
  • Identification of the collector, with the document they will present.
  • What to collect, with the expediente number or the resguardo (the request receipt).
  • Date, signature — and the authoriser's document photocopy ALWAYS attached: without it, the authorisation is worthless.

Cita, hours and the resguardo

Check whether collection requires its own cita — at large registries, it does. And bring the request's resguardo: in Spain it is what locates the document, more than the name. Hours are mornings (the classic 9h-14h); afternoons are the exception, not the rule.

At the counter, before leaving

A complete check: both surnames correct, expected marginal notes, the registry's seal. If the destination is abroad: the Spanish apostille right after — and only then the shipping. The bearer who checks on the spot turns an error into an immediate rectification; the one who does not, into another month of mail.

Does the autorización need a notary?+

As a rule, no — a simple authorisation with a document photocopy suffices for collection. Acts of disposition require a notarised power of attorney, a different figure.

I lost the resguardo. Now what?+

With identification and the request's details (date, type, expediente), the counter locates it — with extra time and goodwill. A resguardo digitised at request time avoids the drama.
