The right registry (and the cita previa)
The act is at the Registro Civil of the municipality of the event — in big cities, at the district registry. And counter access almost always goes through the cita previa booked online at the sede electrónica: you pick the registry, the service and the slot. The Spanish golden rule: the cita is the bottleneck — book it BEFORE planning any errand, because the slot may be three weeks away.
The request kit
- Full name, date and place of the event — and the parents' names (the tiebreaker for namesakes, common in two-surname Spain).
- The record's tomo and page, if known (they appear on the family's old certificates): they turn a search into direct issuance.
- The format: certificación literal for proceedings; extracto (including multilingual) for simple uses.
- The declared purpose — “para uso en el extranjero” guides copies and stamps.
Counter, post or online
Besides the counter with a cita, registries accept requests by post (slow but universal) and the Ministry of Justice's online channel for computerised records — the best first move from abroad. The counter is for what online does not solve: non-digitised records, searches with incomplete data, urgencies.
Leaving the registry
Check on the spot — names (both surnames!), marginal notes, seal — and proceed to the Spanish apostille before shipping. Since issuance is usually free, order multiple copies at once: the expensive part is the cycle, not the paper.
