Odpis zupełny or skrócony: which to request in Poland
The Polish civil registry offers two portraits of the same record: the zupełny shows everything — including what was annotated later —; the skrócony shows the current state, summarised. The wrong choice is the number-one cause of objections in proceedings with Polish documents.
The Polish formats
- Odpis zupełny — the record's full transcription with all the annotations (wzmianki dodatkowe): rectifications, adoptions, name changes, marriages. The Polish full transcript.
- Odpis skrócony — the summary with the record's current data. It exists in a wielojęzyczny version (CIEC multilingual), useful in Europe.
- Zaświadczenie — specific attestations (for example, that a record does not exist) — request one when you need to prove the absence of a record.
When each serves
Simple administrative use and European circulation: skrócony (multilingual when possible). Proceedings, document chains and any analysis that depends on the record's history: zupełny, without hesitating — the later annotations are exactly what the summary hides, and requesting them afterwards means a new fee, new mail, new weeks.
Historical records: another logic, other documents
For records that have already migrated to the Archiwum Państwowe (birth +100 years; marriage/death +80), there is no odpis — the archive issues a certified copy of the book entry, in the era's language: Polish, Cyrillic Russian (Russian partition) or Gothic German (Prussian partition). These documents are valid in proceedings, but the package changes: certified copy + apostille + sworn translation from the record's language — sometimes with a palaeographic transcription first.
