How to collect a document already issued in Germany

The German collection (Abholung) is a small formal act: the office verifies who is collecting, against what, with what authorisation. Well prepared, it lasts minutes; badly prepared, it ends with the most German sentence of all — “da fehlt noch etwas” (“something is still missing”).

Who may collect

The requester — or a bearer with a Vollmacht: the simple written power of attorney, accompanied by a COPY of the grantor's identity document and the bearer's own original ID. The German Vollmacht is taken seriously: without the Ausweis/passport copy attached, many counters refuse — the signature alone is not enough.

The Vollmacht that works

  • Title: “Vollmacht” — the word matters.
  • Grantor: name, date of birth, ID.
  • Bearer (Bevollmächtigte/r): name and the document they will present.
  • The authorised act, specific: “zur Abholung der Geburtsurkunde, Registernummer …”.
  • Date, signature — and the grantor's document copy stapled.

Termin, payment and hours

Confirm whether collection requires its own Termin (in big cities, yes) and whether a fee is pending: Standesämter frequently only hand over after the payment has cleared — the bearer may need to pay on the spot (local card or cash). Hours: mornings; Wednesday afternoons sometimes; Fridays, shortened.

The German check

Before leaving the counter: spellings (ß/ss, umlauts), the right format (did the Urkunde AND the Registerausdruck come?), stamp and signature. If the destination is abroad: the Land's apostille is the next stop — and it may sit in ANOTHER city (the apostilling authority is state-level). Plan both legs together.

Does the Vollmacht need notarisation?+

To collect documents, as a rule, no — simple with a document copy suffices. Some acts require a beglaubigte Vollmacht (authenticated); the Standesamt says when.

Can they mail it instead of collection?+

Many Standesämter mail it (including internationally) after payment — it is the written request's standard flow. In-person collection comes in when there is urgency or when international shipping stalls on the payment.
