The final Polish route has an internal leg many people forget to budget: the apostille is centralised at the MSZ, in Warsaw — a document issued anywhere in the country must pass through the capital before boarding. With that leg solved, the rest is the usual ritual: copy, register, track.

Before shipping: the MSZ and the scanner

The MSZ (Ministry of Foreign Affairs) apostille serves at the counter in Warsaw and by domestic post — the counter solves it in a day; domestic post adds one to two weeks to the cycle. Document + apostille digitised before the envelope: the PDF gets Brazil moving and documents what travelled.

The shipping options

  • A plain letter — no, for originals.
  • List polecony priorytetowy (Poczta Polska, registered): the acceptable minimum — 2-5 weeks, basic tracking.
  • Courier (DHL — strong in Poland —, UPS, FedEx): days, full tracking, insurance: the standard for proceedings.
  • A bearer: with no direct Poland-Brazil flight, the typical bearer connects via Lisbon/Frankfurt — still unbeatable when one exists.

The package

A rigid envelope, inner plastic, the complete Brazilian address with postal code and phone with country code, the declaration “dokumenty osobiste, bez wartości handlowej”. Documents pay no tax on entry; correct declaration = no hold.

If it goes missing

A modern record: a new odpis at any USC (33 zł) + a new apostille — the loss is the calendar and the Warsaw leg again. An archive reproduction: the new copy repeats the kwerenda queue — here prevention (duplicate copies, digitisation, insured courier) is worth double gold.

A 19th-century document in Russian: same apostille?+

The Polish archive's certified reproduction is apostilled normally at the MSZ. The sworn translation in Brazil will be from the document's language (Russian) — budget the right translator.
