How to know whether your request is ready in Portugal
Portugal answers better than the European average — but it answers those who ask right. The difference between weeks of silence and an answer in days is usually one number: the request's.
The request number is the key
Every formal Portuguese request generates a number (entry register, online order, stub). A follow-up without the number forces the clerk to search by name — and slides down the queue. Keep the proof; cite it in every message, with the requester's name and the date.
The channels, in the order that works
- Replying to the request's own confirmation e-mail — keeps the history in one thread.
- The IRN/service helplines — they work, with waiting; midweek mornings are best.
- The counter — for stalled requests, one conservatória ticket solves in minutes what weeks of e-mail did not.
Realistic timelines before chasing
A certificate of a computerised record: days — past two weeks, chase. Requests involving book searches or the District Archive: four to six weeks are normal. Registration processes (rectifications and the like): months, in stages — for those, the right tracking is by milestones, not days.
When to escalate
Two polite chases without an answer = time to change channel. The final step is the counter: a short mission of “go to conservatória X and find out the state of request Y” returns, the same day, the real status, what is missing and — not rarely — the document itself.
Frequently asked questions
Is there online tracking?+
For requests made on the portals (Civil Online), yes — with the order reference. Counter and e-mail requests follow human tracking.
Does chasing hurt the request?+
A polite chase with the number and complete details, no — it is routine. What hurts is opening a parallel new request “to be safe”: it doubles queues and fees.
