I need someone to file a document in Portugal

5 min read · King Hands practical guide

“Dar entrada” on a Portuguese application means filing it: the request is received, gets an entry register number and you receive the comprovativo (proof of submission). Portugal has digitised a great deal — but processes requiring paper originals, in-person signatures or simply the counter of a specific office still exist, and for anyone abroad that means a pair of feet in Lisbon.

Where filing happens

  • Conservatórias/IRN — civil registry applications, rectifications, registration processes.
  • Câmaras Municipais (town halls) — municipal and planning applications.
  • Finanças (the tax authority) — tax acts that still require the counter.
  • Integrated counters (Lojas de Cidadão) — several services under one roof: when your application can enter there, the logistics simplify.

When presence is unavoidable

The portals (ePortugal, IRN online) cover a lot with Portuguese authentication (Chave Móvel Digital, citizen card) — which a foreigner without ties does not have. Without the digital authentication, the path turns physical again: deliver the application by hand, with the originals, and leave with the proof. It is exactly the gap where an instructed bearer comes in.

Who can go for you

A bearer with the complete dossier and, depending on the act, a simple authorisation or a power of attorney. The person must be able to answer the basics at the counter — what they are delivering, on whose behalf, for what purpose — and be instructed in writing on what to accept: a receipt with a caveat? a request for improvement? Prior instruction is what separates a clean entry from a “come back with one more paper”.

The proof you should demand

A photo of the delivery proof with the register number, date and service — it is with that number that everything is tracked afterwards. On King Hands, that proof (photo, time, place) is what releases payment from the locked vault: an entry without proof does not get paid.

Frequently asked questions

Does the entry number guarantee approval?+

No — it guarantees the application entered and that deadlines are running. The merits come later, from the competent service.

Can I file by e-mail?+

Some services accept applications by institutional e-mail; the reply with a register number counts as proof. When the service requires originals, there is no shortcut: it is the counter.
