How to collect a document already issued in the Netherlands

3 min read · King Hands practical guide

The gemeente delivers by post — Dutch in-person collection is for urgencies and preferences. When it happens, the instrument is the machtiging: the simple written authorisation, in the usual local pragmatism.

The postal standard

The afschrift arrives by PostNL at the form's address — international included. Before designing a collection, the better design: delivery to a Dutch address, because the next leg (the apostille at the rechtbank) is local and fast — and then only one crossing crosses the ocean.

The machtiging

  • Who authorises (name, birth, document) and who collects (with the document they will present).
  • The specific act and the date; a signature.
  • Copies of both IDs — the mandatory Dutch pair.

The counter and the hours

Burgerzaken serves by appointment in most cities (online booking is the Dutch normal) — walk-in is the exception. Check the gemeente's site and book; arriving without an appointment is the only possible logistical faux pas in a system that announces everything.

In hand, check

Correct prefixes and 'ij', dates, the requested format, the gemeente's seal. And continue in the same cycle to the rechtbank: the on-the-spot Dutch apostille is the corridor's gift — use it.

Frequently asked questions

Does the machtiging need certification?+

Not to collect documents — the authorisation + IDs pair solves it. The Netherlands bureaucratises little and checks well.

Does PostNL track to Brazil?+

The registered ones track reasonably; for proceedings, courier on the crossing — every corridor's rule.
