How to check whether a certificate is ready
The hardest part of requesting a document from an Italian office is not the request — it is the wait with no sign of life. This guide is about turning silence into information: knowing where your request stands, chasing the way that works, and recognising the moment to change strategy.

If your request was filed (in person or by PEC), a numero di protocollo exists — and it is your password. Every follow-up starts by citing that number, the request date and the requester's name. Without it, the clerk has to rebuild the search from scratch, and your e-mail sinks down the pile.

How long to wait before chasing
Practical references, not promises: for a simple written certificate request, wait two to three weeks before the first follow-up. For searches in old records (19th century), four to six weeks — manual searching through the books is genuinely slow. After the first follow-up, one contact every two weeks is firm without being hostile.
Silence beyond two months with ignored follow-ups stops being a queue and becomes a signal: the request got lost, something is missing, or the chosen channel does not work at that comune.
How to chase without hurting your own request
The follow-up that works is short, complete and polite: protocol number (or request date), the name of the person on the record, what was requested, and one objective question — “è possibile avere un aggiornamento?”. Repeating all the details in every message is not redundancy: it is what lets the clerk reply without opening the file.
Avoid the classic mistake: opening a new request thinking it speeds things up. Two identical requests become two queues — and sometimes two fee charges.
When to escalate
