How to collect a document already issued in Italy
A common situation: the certificate has been issued, the notarial act is ready, the document sits at the counter of an Italian office — and you are 9,000 km away. The good news: collection by third parties is standard practice in Italy, as long as the bearer brings the right papers.
Who may collect
The holder, naturally. And, in their place, anyone carrying a delega — a simple written authorisation — together with a copy of the authoriser's ID and the collector's own original ID.
Do not confuse it with a notarised power of attorney: to collect documents, a simple signed delega is usually enough. A formal procura comes into play for legal acts, not for picking up a paper at a counter.
How to write the delega
A functional delega has five elements, in Italian:
- Who authorises: full name, place and date of birth, ID.
- Who collects: full name and the ID they will show at the counter.
- What to collect: description of the document and, if there is one, the protocol number.
- Date and signature of the authoriser — the signature must match the attached ID.
- Attachment: copy (front and back) of the authoriser's identity document.
Where and when to go
Some offices publish their own delega template on their website — when it exists, use theirs. And mind the hours: Italian counters often open mornings only, some on alternate days. In large cities many services require an appuntamento (online booking) — showing up without one can mean coming back another day.
Confirm beforehand: current opening hours on the office's website, the documents required, and whether an outstanding fee must be paid on collection (some offices only release the document after local payment).
Check on the spot, not later
Whoever collects must verify at the counter, before leaving: correct names and dates, the ufficiale's stamp and signature, all pages present. An error caught on the spot is fixed on the spot; caught abroad, it becomes a new cycle of weeks.

Do not let the document sleep at the counter
Uncollected documents go back to the archive — and some processes deem the request abandoned after a deadline. If the “ready for collection” notice arrived, treat it as a deadline, not an invitation.

Does the delega need to be notarised?+
As a rule, no: a simple signature with a copy of the authoriser's ID is usually enough. Some offices require an authenticated signature for specific documents — the office's website says so; when in doubt, authenticate.
Can the office mail the document instead?+
Some comuni will send it against a pre-paid envelope or reimbursement of postage. Worth asking in the same request — but international mail adds weeks and risk.
