How to get an Indonesian certificate without traveling
Indonesia joined The Hague in 2022 — and made the apostille ONLINE from the start: the Kemenkumham portal (the justice ministry) receives, validates and issues electronically. The registry remains territorial (each kabupaten/kota's Dukcapil issues the akta kelahiran), but internationalization became a form — the archipelago of 17 thousand islands got shorter for the world.
The Dukcapil and the akta
Births, marriages (civil ones — Muslim religious ones go through the KUA) and deaths are registered at the district's Dukcapil — the akta kelahiran (birth) is the master document, and the NIK (the 16-digit national number) the key that ties everything together. Digitization advances: digital aktas with QR codes and the national identity app expanding.
The 2022 apostille
The new flow: the akta (with the occasional prior validation) goes up to Kemenkumham's AHU portal → the apostille comes out electronic/printed with verification — in days, with a moderate fee paid online. The old chain (Kemenkumham + Kemenlu + consulate) retired for Hague countries: Brazil included.
Who can request
The holder and family with the documents (the kartu keluarga — the Indonesian family card — is a central piece); third parties with a surat kuasa (the power of attorney). The local executor navigates the right district's Dukcapil — in the archipelago, 'which island?' is the first question of any mission.
The typical route
Akta at the Dukcapil (via executor/power of attorney) → Kemenkumham's online apostille → courier via Jakarta (4-7 days) → sworn translation from Indonesian in Brazil — rare; the bilingual akta (some districts issue with English) or the locally translated version can spare it. Late registration (delayed registration, common in the older generations) has its own district procedure.
The kartu keluarga is Indonesia's documentary axis — the entire family on one sheet, required in almost every procedure. For requests about ancestors, locating the old KK (or reconstructing it at the Dukcapil) frequently precedes the akta. And the spellings: the 1972 orthographic reform (Soerabaja→Surabaya, Djakarta→Jakarta) runs through people's names too.
Frequently asked questions
Does the Indonesian consulate issue aktas?+
It serves citizens in consular acts; the aktas come from the territorial Dukcapil. The embassy in Brasília gives guidance; the local executor resolves it.
Records from the Dutch era?+
The colonial civil registry (burgerlijke stand) covered Europeans and certain categories — the archives (ANRI and regional ones) hold them; for the general population, records are shallow before the republic. The historical design is archival.
