How to track a request at a German office
German tracking rewards method: every case has a number (Aktenzeichen) and, with luck, a named handler (Sachbearbeiter/in). Whoever writes to the right person citing the right number receives objective answers — German bureaucracy is slow, but rarely opaque.
The two keys: Aktenzeichen and Sachbearbeiter
The Aktenzeichen identifies the case; the Sachbearbeiter is the official conducting it — their name frequently appears on the entry confirmation or in replies. Writing directly “zu Händen von Frau/Herrn X, Aktenzeichen Y” shortens the path in a way that surprises anyone coming from anonymous bureaucracies.
The channels, in the German order
- E-mail to the Standesamt/Behörde citing the Aktenzeichen — the standard channel; replies in days to a few weeks.
- Phone during the Sprechzeiten (the phone-service windows, published on the website — and short: sometimes two mornings a week).
- A registered letter — for formal chases with effect.
- The counter with a Termin — the last step, effective but scarce on the calendar.
Realistic timelines
A certificate from a computerised record: one to three weeks from the cleared payment. Book searches: four to eight. The Stadtarchiv: depends on the research queue — months are not rare. The German detail: the clock only starts with the payment — a request without confirmed payment is a request that does not exist. If the reply is late, the first check is always “did the payment arrive?”.
Chasing the right way
Objective, formal, with the number: “freundliche Nachfrage zum Stand des Verfahrens, Aktenzeichen…”. One chase every two-three weeks is acceptable; a demanding tone before the typical period, counterproductive. If silence persists beyond double the period: the phone during the Sprechzeit — and, at the limit, someone at the counter.

Cite the request date, the name and the subject — and ask for the number in the reply (“bitte teilen Sie mir das Aktenzeichen mit”). From there, the tracking gets on rails.

It is the number-one cause of stalled German requests: a transfer with incomplete details (without the Verwendungszweck — the payment reference) is not matched to the request. Always include the exact reference the Standesamt indicates.
