The USA mixes both worlds: mail is the standard (USPS has delivered American bureaucracy for two centuries), but the county counter keeps a precious tradition alive — counter pickup, sometimes with on-the-spot issuance. Knowing when each is worth it is the game.

Where collection exists

  • County clerk/recorder: will call and the counter — in many counties, the certified copy comes out ON THE SPOT for whoever qualifies.
  • The apostille at some Secretaries of State: a walk-in counter or drop-off with same-day/next-day collection.
  • Federal bodies and courts: collection per the case's instruction.
  • The rest: USPS — first-class for the trivial, certified/priority for what matters.

Authorising a third party

The American authorization letter: who authorises, who collects, what, signature — and, in formal cases, notarised (notarisation is America's currency of trust, and the notary public is in every bank and corner shop, for a few dollars). In restrictive states, the collector must also qualify under the access rule — authorisation does not replace eligibility.

The American address as strategy

The corridor's design: delivery to an American address (an acquaintance or the executor) → apostille at the state's Secretary of State → courier to Brazil. A document that reaches Brazil without an apostille goes back to the USA — to the RIGHT state, which doubles the pain of the error.

At the counter, check

The certified copy's seal/embossing, the long form when requested, spellings and dates (American month/day/year!). The county counter corrects on the spot; international mail, in weeks.

Notarising the authorization letter from Brazil?+

RON (online notarisation) when the state accepts it; the American consulate; or a Brazilian notary + apostille (the expensive route). For simple collection at a flexible county, the plain letter with IDs sometimes suffices — ask the clerk first.
